MailStore Gateway offers SMTP and POP3 proxy functionality, plus simple mail server functionality for receiving and storing emails from Microsoft 365, Google G Suite, and other email servers that can send emails to external archiving solutions via SMTP. In this way, MailStore Gateway is a convenient way to easily set up and maintain secure mailboxes that act as targets for journaling and archiving rules. With MailStore Gateway, third-party journal and archive mailboxes are no longer needed.

Usage scenarios

MailStore Gateway is designed for the following two scenarios:

MailStore gateway as server: In this scenario, MailStore Gateway serves as a journal or archive destination for other email servers that create copies of sent and received emails.

MailStore gateway as a proxy: In this scenario, MailStore Gateway serves as an SMTP and POP3 proxy that creates and stores copies of all emails exchanged between clients and email servers.

Many email servers allow copies of all incoming and outgoing emails to be created for archival purposes. While on-site email servers typically allow these copies to be delivered to on-site mailboxes, most cloud-based services (for example, Microsoft 365, Google G Suite) do not, either technically or in terms of licensing. Instead, they require that external mailboxes be used as targets for journalor archive rules, hosted by another provider or by a local email server. For these services, third-party archiving solutions, such as MailStore Server and MailStore Service Provider Edition, must receive emails from these external mailboxes or receive emails via SMTP directly.

Because direct SMTP archiving is often preferable to a third-party mailbox provider, MailStore Gateway provides basic mail server functionality for MailStore Server and MailStore Service Provider Edition to receive journal emails that can be archived. In this way, MailStore Gateway provides customers with a simple way to archive journal emails when using cloud services such as Microsoft 365 or Google G Suite without having to rely on mailboxes hosted by third parties. To conveniently archive mail from MailStore Gateway, a new archive profile has been added to the MailStore Client and the Archive Client Email.

MailStore gateway as a proxy

Smaller companies and organizations typically do not have their own email server or use email services that do not support journaling or archiving rules. Organizations like these can use a combination of POP3/SMTP in their email clients to receive and send emails.

So that all incoming and outgoing emails can be archived in this scenario, MailStore Gateway can record communication between the email client and the email server, effectively operating as an email proxy.

Safety

All emails stored in MailStore Gateway mailboxes are protected by strong hybrid encryption. Mailbox passwords represent the passwords of the private keys of the asymmetric part of hybrid encryption. This implies that without the correct mailbox password, no data can be decrypted.

Additionally, MailStore Gateway does not allow usernames or passwords to be transferred over an unencrypted connection. The remote server for proxy connections must support implicit (SMTPS, POP3S) or explicit (SMTP + STARTTLS, POP3 + STARTTLS) encryption.
